What you will make
Turn a spreadsheet into a checked participant list, select two winners and save the result. You can complete the exercise with fictional participants before using your own list. The picker reads CSV or TXT files inside your browser; it does not open XLS or XLSX workbooks. Downloading a sample does not start a draw or replace an existing list.
1. Prepare only the information you need
Keep your original workbook as a backup. Create a separate sheet containing a participant ID and a display name. Use one person per row. Avoid including email addresses, phone numbers, private notes or other information that the draw does not need. The importer lets you choose one column; it does not combine names with IDs automatically.
Two people can have the same name. If both are eligible, use distinct aliases or participant IDs instead of removing one as a duplicate. Decide eligibility and the duplicate policy before importing. A random picker cannot verify identity, consent or eligibility for you.
2. Save the participant sheet as CSV UTF-8
In Excel, use Save As or Save a Copy and choose CSV UTF-8 when available. Menu names vary by version. CSV is a text exchange format, not a backup of workbook formulas, formatting or all sheets. Check that the intended participant sheet is the active sheet before exporting. Keep the original workbook separately.
If the file opens with unreadable names, reopen the original workbook and export with UTF-8 encoding. Merely renaming an XLSX file to CSV does not convert it. This importer rejects invalid UTF-8 instead of silently replacing characters. Files may be up to 1 MB; the resulting list must contain at most 1,000 entries, each at most 100 characters, within the tool's 100,000-byte input limit.
3. Try the clean sample
Download the clean sample below and open the linked name picker. Choose Import CSV/TXT and select the downloaded file. The preview appears without changing your current list. Select the second column, then enable the option to exclude the first non-empty row because this sample has column headings. You should see 10 entries, no duplicate entries and no empty selected cells.
The sample uses localized fictional labels and stable IDs, P001 through P010. If your own file has no heading row, leave the heading option off; otherwise you will omit the first participant. The preview displays the first 10 entries, while the count covers the full selected list.
4. Inspect the practice file before applying
The practice file deliberately contains 12 populated participant cells: the original 10 and two repeated entries. It also has one row with an ID but an empty display-name cell. Select the second column and exclude headings. Without duplicate removal, expect 12 entries, 2 duplicates found and 1 empty selected cell skipped. With duplicate removal enabled, expect 10 entries. These are deterministic import counts, not predicted winners.
Duplicate comparison ignores letter case after trimming surrounding whitespace. It does not establish that two labels belong to the same person. Entirely empty rows are ignored. Line breaks inside a quoted cell are joined with a space so that one spreadsheet cell remains one entry. Inspect names after this cleanup, especially if the original sheet has unusual formatting.
The separator can be detected automatically or set to comma, semicolon or tab. If all columns appear as one, choose the separator used in your file. A comma inside a properly quoted name is preserved. An unmatched quotation mark is an error: correct the source sheet or export it again. TXT files are treated as one entry per line, not as a table.
5. Apply the list and draw two winners
Once the preview is correct, choose the replace-list button. This explicitly replaces your current entries and clears previous results and the draw cycle. Cancel leaves the existing list intact. Export an existing list first if you want to keep it.
For this exercise, set the number of winners to two and leave repeat winners disabled. Keep removal of selected names enabled if you want the chosen entries removed afterward. Generate the result once. With 10 distinct imported entries, you should receive two different entries and have eight entries left. The actual winners vary on every run; the screenshot shows setup, not a promised outcome. Do not rerun an official draw just because you dislike its result.
6. Save the list and the result separately
Export list saves the current input, while Download CSV saves the latest displayed result. If selected names were removed, exporting afterward saves only the remaining list. Save the checked input before drawing when you need an original record. The result filename includes a timestamp, but the file is not a signed audit certificate or a complete draw log.
Keep your own record of the time, eligible list version, duplicate rules, winner count and any exclusions. Open the downloaded result and confirm the displayed winners match. Exports use UTF-8 with a byte-order mark to help spreadsheet applications preserve multilingual text. Formula-like values are prefixed with an apostrophe for spreadsheet safety; that prefix may be visible in other applications.
Privacy and final checks
Importing and drawing do not upload the participant file. If local list saving is enabled, entries remain in this browser's storage; they do not automatically follow you to another device. Turn saving off and clear local site data after using a shared computer. Creating a share link is a separate action that sends the visible list and settings to the server. Do not use sharing for sensitive participant data.
Before a real draw, check the selected column, heading option, participant count and duplicate policy. Use fictional data for screenshots. This workflow supports transparent preparation, but it does not certify fairness, guarantee regulatory compliance or replace the rules of your event.
Practice files and tool
Fictional data only. Both files have a heading row: select the second column and exclude headings. The clean file has 10 entries; the practice file has 12 populated entries, 2 duplicates and 1 empty selected cell. With duplicate removal, 10 entries remain.
